Effective Spring 2009, the PWGFS Board implemented a mandatory volunteer policy. During the registration process, you are now required to select a primary and a secondary volunteer position or you may pay a $25 "opt out" fee. The "opt out" fee is not intended to be a fund raiser for PWGFS, rather it was put into place to encourage more people to volunteer. PWGFS is a volunteer-based league completely run by it's dedicated volunteers. Below, you will find the general PWGFS volunteer positions along with a description of each. PWGFS Background Screening Consent and Release Form

Coach

As a PWGFS coach, you will be required to be certified through NYSCA and submit to a background screening. There will be a mandatory one time coach training session for new coaches. The training session will be held by PWGFS and will last 1 or 2 hours. The PWGFS Board or the Division Commissioner will hold a coach meeting you will be required to attend. Each Spring, PWGFS holds a tryout session. Coaches will attend the tryout session for the purpose of evaluating the players skills. The PWGFS Board will then hold a meeting with the coaches during which, the Player Agent will conduct the player draft. (Draft Rules can be found on the PWGFS Local Rules Page or click here ). Following the player draft, coaches may contact their teams and begin practicing. All PWGFS coaches will be assigned team equipment and appropriate league contacts for handling various coaching related issues. In addition to "on field" coaching, PWGFS encourages all coaches to take part in our Winter Clinics and Summer Camps as they can be a great learning experience.

 

Assistant Coach

As a PWGFS Assistant Coach, you will be required to be certified through NYSCA and submit to a background screening. PWGFS will allow up to two (2) official assistant coaches per team for the purposes of fulfilling mandatory volunteer obligations. Assistant coaches will be required to help the coach during practices and games. In the coach's absence, the assistant coaches will be called upon to run practices or games as needed. In addition to "on field" coaching, PWGFS encourages all assistant coaches to take part in our Winter Clinics and Summer Camps as they can be a great learning experience. Many assistant coaches find their comfort in coaching as an assistant and later progress to coaching.
NOTE: Based on the PWGFS Draft Rules, Assistant Coaches will not be assigned to teams. During the draft process, coaches may draft players based on getting assistant coaches through their picks but, team placement is not guaranteed. If a team has more than two (2) assistant coaches assigned to a team, the coach will decide his two (2) official assistants. Others may still help as needed however, PWGFS will use their secondary volunteer options.

League Scorekeepers

As a PWGFS League Scorekeeper, you will keep the score book during games. There will be a scorekeepers meeting which will cover a lesson on how to keep score. Eventually, PWGFS would like to get to a point where scorekeepers are assigned to games like umpires are but, for now, each team should have one. Scorekeepers will be given a scorekeepers code to report scores on the PWGFS website as games are completed.
NOTE: Based on the PWGFS Draft Rules, Scorekeepers will not be assigned to teams. Once the teams are formed, coaches will report their official scorekeeper to PWGFS. If more than one person who volunteers as a scorekeeper are placed on the same team, PWGFS will use their secondary volunteer options. If a team does not have an official scorekeeper following the draft, a parent may be allowed to change their primary volunteer option by notifying PWGFS of the change. The scorekeepers meeting will be scheduled after teams are formed. As PWGFS grows and we get a large amount of scorekeepers, eventually we can assign scorekeepers to cover games. This would be an impartial scorekeeper neutral to both teams who could record game stats into the system which will fairly rank the players and eliminate the need for existing players to try out each year. For now, scorekeepers won't be that advanced.

Field Preparation Crew

The PWGFS Field Preparation Crew will be responsible for getting the fields ready before games and picking up bases, etc. following games. The idea is to have one parent from each team designated to the field prep crew which will allow the coaches to coach and prepare their teams for games without getting bogged down with this task. For practices, the field prep will consist of putting bases out and picking them up at the conclusion of practice. For games, the field will be lined in addition to putting out bases. In addition to these tasks, PWGFS will from time to time call on the PWGFS Field Preparation Crew to help prepare a field for the reasons of making it playable. The best example of this is a Saturday morning when the field is listed as closed but, with some work, the field could be opened at noon allowing us to get the afternoon games in. This saves us valuable field time for everyone. PWGFS will hold a short training session on how to prepare the field for those who volunteer as field preparation crew.
NOTE: The home team is responsible for preparing the field. This means that as a part of the field prep crew, you will only be responsible for preparing the field about half of the time.
There will be one (1) Field Preparation Crew Member per team. If a team does not have anyone who volunteered in this area, parents will be allowed to change their primary volunteer option by notifying PWGFS of the change. If more than one person volunteered for Field Prep, PWGFS will use their secondary volunteer options.

Concession Stand Managers

PWGFS Concession Stand Managers must be 18 or older and will be required to submit to a background screening. The Concession Stand Managers will work under the PWGFS Concessions Coordinator who will schedule opening & closing the concession stand based on the PWGFS schedule. As a Concession Stand Manager it is your job to open and or close down the concession stand as scheduled to do so. Generally, you won't be required to run concessions but, you may run into an early or late customer from time to time. Upon opening the stand, you will be required to wait for the concession stand volunteer to show up before leaving.

Concession Stand Cooks

Concession Stand Cooks must be 18 or older as this job involves operating the grill to cook. You will not be required to be Chef Gordon Ramsey, just cooking hamburgers, etc. At the close of a shift, the cooks will be required to empty the drip pan and wipe down the grill and cooking utensils. The Concession Stand Cooks will be scheduled by the PWGFS Concessions Coordinator.

Concession Stand Volunteer

As a Concession Stand Volunteer, you will be scheduled shifts by the PWGFS Concessions Coordinator. This is not a complex position, it just requires simple math for the purpose of calculating how much a customer pays and making change. PWGFS will allow players to volunteer from time to time but, adult supervision is required at all times.
